Summary

The Records Management Committee (RMC) is responsible for reviewing and approving retention schedules for governmental entities. Entities are required to submit and obtain approval for record series retention schedules from the RMC according to the procedures outlined in Utah Administrative Code R36-1.opens in a new tab

The CAO of a governmental entity is responsible for submitting a proposed schedule for the retention and disposition of each type of material that is defined as a record under GRAMA to the state archivist for final approval by the RMC. The RMC is responsible for reviewing and determining whether to approve each schedule for the retention and disposal of records and must do so within three months after the day on which the proposed schedule is submitted to the committee.

After a retention schedule is reviewed and approved by the RMC, the entity must maintain and destroy records in accordance with the retention schedule or if an entity has not received an approved retention schedule from the RMC for a type of record, the general retention schedule maintained by the state archivist shall govern the retention and destruction. The procedures for RMC meetings and retention schedule review and approval are established in Utah Administrative Code R36-1-1 et seq.
